How to Send Internal Notifications to Assigned Staff Only

 

  1.  

    Create Workflow

    •  

      Automation → Workflows → + New Workflow.

  2.  

    Set Trigger

    •  

      Form SubmissionForms → Forms → Select the form.

  3.  

    Add to CRM Pipeline

    •  

      + Add Action → CRM → Add to Pipeline & Stage (choose the target Pipeline and Stage).

  4.  

    Assign Staff

    •  

      + Add Action → CRM → Assign Staff (select how you assign: fixed user, round-robin, weighted, etc.).

  5.  

    Evaluate Condition (Check Assigned Staff)

    •  

      + Add Condition → Evaluate Condition

    •  

      Field: CRM → Assigned Staff

  6.  

    Yes Branch (“Y”) → Internal Notification

    •  

      On the Y path, + Add Action → Internal Notification.

    •  

      Channel: Email / WhatsApp / In-App.

    •  

      Recipient: the assigned staff

  7.  

    (Optional) No Branch (“N”)

    •  

      Add a fallback notification (e.g., team group, manager) or leave empty.

  8.  

    Save & Activate

    •  

      Save the workflow and toggle it ON.


 
🔧 Troubleshooting

  •  

    Not receiving WhatsApp notifications

    •  

      Ensure the scanned WhatsApp device is active/online.

    •  

      Confirm the correct number with country code (e.g., +91) is used in the action.

    •  

      Re-scan the device if it shows disconnected.

  •  

    Staff didn’t get the alert (Assigned only flow)

    •  

      Verify the contact was actually added to a Pipeline & Stage before the condition runs.

    •  

      Confirm Assign Staff action ran before the Evaluate Condition step.

    •  

      In the condition, ensure CRM → Assigned Staff matches the intended staff.

  •  

    No notification at all

    •  

      Check the workflow is ON.

    •  

      Review trigger form selection (Forms → Forms → Selected form).

    •  

      Check workflow History/Logs to see which step failed.


 
💡 Tips

  •  

    Use Round Robin or Weighted assignment if multiple staff share leads.

  •  

    Keep separate workflows for team-wide alerts and assigned-only alerts if you want cleaner reporting.

  •  

    Store staff phone numbers with country code to avoid WhatsApp delivery issues.
